01 — Context

In the construction chemicals business, Şahika Group handles dozens of shipments a day, hundreds of product lines, a constant flow of quotes and the invoicing-and-collection chain behind them. That traffic lived in disconnected channels: shipments in Excel sheets, quotes in WhatsApp messages, confirmations over the phone; e-Invoices in a separate program, bank movements on printed statements, cheques and promissory notes in a ledger.

03 — Approach

Our approach for Şahika Group

None of the off-the-shelf solutions on the market fit the way this company worked; instead of bending the workflow to fit a program, the program had to be built around the workflow. Before writing a line of code we went into the field and listened, step by step: how a shipment is planned, how a quote is issued, where a confirmation gets lost, at which point the invoice is raised.

We built the system in stages: on day one there was only shipment and quotes. Modules were added one by one, driven by real needs from the field — orders and waybills, then e-transformation, then finance. Years of Excel history and customer/supplier account records were migrated into the new system without losing a single row; at every stage the teams were trained at the screen.

Field use was a design criterion from the start: shipment crews log in from their phones, mark the delivery on site and upload the proof-of-delivery photo instantly.

04 — Solution

The solution we built

What began with shipments is no longer a shipment tool; it is a corporate system managing the entire company with more than 60 screens across 18 module groups. The sales chain runs end to end: a quote is prepared in minutes from the product catalogue with discount and VAT calculation, an approved quote becomes an order in one step, and the order becomes a shipment plan. The shipment core — a vehicle-based weekly plan, a daily screen, proof-of-delivery photos uploaded from the field — is just one link in that chain.

The e-transformation chain is fully integrated: order → dispatch preparation → e-Waybill → e-Invoice/e-Archive all flow inside the system; incoming e-Invoices are parsed automatically, and taxpayer lookup with the Turkish Revenue Administration (GİB) and document status tracking run through the integration. On the finance and accounting side, bank and cash movements, transfers, cheque and promissory note tracking, account risk and collections management live in the same system.

Procurement and production sit under the same roof: warehouse operations (goods receipt, returns, dispatch preparation), stock cards and price management, purchase requests, the production schedule and recipe-based formula-cost calculation. An AI layer works on quote analysis; management reports are one click away in every module. The structure is multi-company: the Bursa head office and the factory share one infrastructure, separated by role-based access.
